Modern office setting Job brief We are looking for a responsible Administrative/Financial Assistant to perform a variety of administrative, clerical and bookkeeping tasks.
This position is to providing support to our President, Vice President and employees, assisting in daily office needs and managing our company's general administrative/financial activities.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Responsibilities Organize and schedule appointments Plan meetings Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Update and maintain office policies and procedures Order office supplies and research new deals and suppliers Maintain contact lists Book travel arrangements Submit and reconcile expense reports Provide general support to visitors Act as the point of contact for internal and external clients Arranging meetings and scheduling appointments Answering or transferring phone calls and taking messages for select staff members Maintaining the office calendar Sorting and delivering all mail and faxes Strong leadership skills Excellent written and verbal communication Experience with various forms of office software and equipment Able to write reports and presentations Good interpersonal skills Ability to work with staff across multiple departments Financial duties include:
Prepare and post receipts, deposits, purchase orders, invoices, refunds, and other standard bookkeeping tasks Process and maintain accounts receivable and accounts payable Review and process reimbursements Prepare, track, and reconcile ledgers Prepare and submit payroll Communicate with CPA's Communicate with Franchise accountants Create financial and inventory reports Prepare and file company tax documents Identify and correct miscalculations and financial discrepancies Develop and streamline operational efficiencies Contact delinquent accounts (collections) Stay current with all regulations, requirements, and laws Job Requirements College degree preferred Practical experience with QuickBooks Able to quickly learn and adapt to new software and processes A solid understanding of bookkeeping procedures including crediting and debiting appropriate accounts, posting entries to ledger accounts, and reconciling accounts Effective written and verbal communication skills Works well in a team environment and with upper management High level of critical thinking and logical analysis Good organizational and time management skills Able to work well under pressure and meet all deadlines Always keeps the highest standards of compliance and confidentiality Job Type:
